Application Process

  • New vendors must submit with their Application Form a signed Vendor Guidelines & Agreement Form and Vendor Waiver Form in order to be considered for the Vendor Program (see below)

Scheduling

  • January to June dates will be booked in October of the previous year
  • July to December dates will be booked in May
  • New vendors will be booked (based on space availability) once their application package is received
  • Every effort will be made to ensure that vendors with similar products are not scheduled for the same day or time period to help maximize sales

Table Administration Fees & Payment Schedule

  • A flat fee of $75/ day for two 6 ft tables
  • Payment is due no later than the first day of the previous month of the scheduled date

  • Credit Card preferred

Cancellation

  • Cancellations must be made no later than 5 business days prior to the booking, in which case table fees will be applied to a future booking
  • Late cancellations will be subject to a $25 fee
  • Table fees will apply to vendor no-shows. It is the responsibility of the vendor to ensure they show up for their scheduled vending dates.

Restricted products

These items are not permitted for sale in the Vendor Areas:

  • Used or previously owned items
  • Scented products, unless properly packaged
  • Stuffed animals
  • Latex balloons
  • Flowers and floral arrangements
  • Investments, real estate opportunities, insurance, cellular phone contracts and such services
  • Ready to eat food items, vitamins, and health supplements

Hours of Operation  

  • Vendor tables are open Monday to Friday from 8:30am to 4:30pm (hours may be extended)
  • Vendors are not to leave the Vendor tables before 4:30pm
  • Vendor tables are closed on Saturdays, Sundays and statutory holidays
  • Staffing and break coverage are the responsibility of the vendor

Location

  • Three sets of two 6 ft tables are located near the cafeteria in the North Building

Access

  • The Cafeteria can be accessed through the Fraser Valley Cancer Centre parking lot (138th St. & 96th Ave.) for loading and unloading purposes only

Parking

  • Parking fees are the responsibility of the vendor (pay parking is available on and around the hospital site)
  • Vendors parking in Fraser Valley Cancer Centre patient spots will be ticketed and towed

Set-up

  • The tables must be left in the configuration set up by the Foundation office
  • A pathway must always be kept clear to the cafeteria in case of an emergency
  • Each vendor space is restricted to the 2 tables provided by the Foundation, other tables may not be used
  • Each vendor will be assigned a table number (between 1 & 3) for their scheduled vending date

  • The Vendor is responsible for providing their own tablecloths and skirting, lighting, and all other items for the space

Phone

  • A single phone jack is provided at each of the vendor areas. Vendors are responsible for bringing their own phone and credit or debit card machines

Advertising

  • Surrey Memorial Hospital Foundation will post a monthly Vendor Schedule at various public locations throughout the hospital, a copy of the calendar will be sent to all SMH employees with email addresses, and a monthly calendar will be available on the Foundation website
  • The posting of flyers or posters around the hospital buildings or grounds is not permitted 
  • It is the Vendor’s responsibility to ensure their “Vendor Description” on the website is accurate

Code of Conduct

  • Vendors must be respectful of staff, patients and fellow vendors while at Surrey Memorial Hospital
  • Respectful conduct includes maintaining professional behaviour at all times; aggressive sales techniques and direct solicitation will not be tolerated
  • Vendors engaging in disruptive or unprofessional behaviour may be removed from the program
